7 to 9 pieces per person, hot and cold, 6 to 8 varieties. At this level, the reception begins to take on the role of a meal. Make sure there are enough substantial items in the mix: bitterballen and Dutch finger food such as mini croquettes and filled mini wraps. Plan for 3 to 4 serving rounds.
Meal replacement: dinner reception
10 to 16 pieces per person. This is the territory of a walking dinner or an extended reception that fully replaces the evening meal. Both hot and cold, with substantial elements such as mini burgers, grilled vegetables, and meat or fish on skewers. Vegetarian and vegan options are no longer an afterthought here, but a full and equal part of the offering.
Practical considerations when calculating canapés
- Peak at the start: guests largely arrive at the same time and reach for canapés immediately. A large proportion of the first round disappears within the first 20 minutes. Make sure your first batch is large enough.
- Timing determines appetite: a reception after 17:30 with no dinner to follow requires more canapés than one running from 15:00 to 17:00. After work, guests may not have eaten for several hours.
- Guest profile matters: younger guests and men tend to eat more on average. A corporate audience of 45-plus typically eats somewhat less than a mixed party crowd.
- Collect dietary requirements in advance: vegetarian, vegan, halal and gluten-free requirements all influence how many of which varieties you need. If 30% of guests are vegetarian, your selection should reflect that.
- Hot canapés require extra logistics: warming equipment, timing and staff are essential. If the programme overruns due to speeches or presentations, hot canapés can go cold. Build in extra time for this.
- A 20% safety margin: surplus is better than shortage. Add 10 to 20% to your calculation, especially when the timing or guest profile carries risk.

- Too little variety: 300 pieces of a single canapé works less well than 250 pieces across 5 varieties. Guests want choice, and a single item runs out quickly.
- Serving canapés too early: if the first round has been sitting out for 30 minutes before the last guests arrive, early arrivals eat everything or the canapés are cold for everyone else.
